How To: Item Planning

Introduction

IEM supports the option to distinguish Job Inventory from standard inventory. Job inventory is that part of the total inventory which is produced or procured for a particular job. It allows the company to de-couple the logistics and financial process: Job Inventory is set aside (earmarked) for the Job and as such ?reportable? but not recognized as costs yet, this can be postponed until actually used (consumed or delivered)
All standard inventory processes work with job inventory (reservations, item tracking, item journals). You can recognize job inventory in the item ledger entries as follows:

  1. A Job No. is filled.
  2. The flag Job Inventory is set.

The demand for job inventory is raised by the Item Planning per Job Task. For each line you choose the Replenishment Option to allow a quick and easy choice between Buy, Assemble, Make or Transfer. The default Replenishment System is copied from the item card and stored on the Job Item. The list with job items contains all the items that are used within the job. You can change the default on the Item Planning Line.

Notes

1. Microsoft Dynamics NAV 2013 introduced the Usage Link for Job related postings. This means that whenever usage is posted to a Job the program will search for a matching Job Planning Line. When found the usage quantities will be updated, when not found a planning line will be created.
2. The IEM "happy trail" however works top down, from Budgeting >> Planning >> Consume/Deliver. In order to enforce proper usage the Usage Link will always be ON when AJM is enabled

Working with Item Planning Lines

Item Planning Lines are the domain of the material planner for the Job, the work preparation. Item Planning lines are first of all organized by Job Task:

  1. From the Job Task List click Item Planning in the ribbon
  2. Alternatively click the number behind Item Planning in the Job Task Information factbox to drill down on the Item Planning lines.
  3. On the Job Item Planning page you can change, or clear, the Job Task Filter to see the Item Planning lines for other Job Tasks or all Item Planning lines for the Job
  4. Also note the Job Specific Filter
    • None = all Item Planning lines.
    • Job Specific = only the Job Specific Item Planning lines are shown.
    • None Job Specific = the Job Specific Item Planning lines are hidden.

You can also run Job Item Planning as one of the Advanced Job Management Tasks: ./Departments/Advanced Job Management/Tasks >> Job Item Planning. This page is the same as the Job Task Item Planning page but opens with all the filters empty.

Item Planning Lines fields

The following fields are specific to Advanced Job Management

Fields Explanation
Type Must be Item or G/L Account, when Extended Texts are used these lines will be marked as Text and linked to the Item line as parent
Application Determines how the material is used in the Job: Consume = used in the Job. Deliver = first a Delivery is made before being used in the Job.
Apply The item is a sub-assembly which should be applied to a higher level assembly which is added later to the Job Task. The sub-assembly is then "deducted" from the material requirement of the higher assembly. To use this option also the "Apply Components" setting on the Job Header (Planning & Budgeting fast tab) must be on.
Planning Date Sets the due date for the replenishment order, by default the Job Task starting date is copied to this field.
Line Status Open or Released, only Released lines can be Transferred to a replenishment order or will be included in the Planning calculation.
Job Specific Determines if the item is handled as specific for the Job. To be on the item must have Job Specific posting groups. When on the item card Job Specific is set as default, this setting will be copied to the Job Item Planning however can be changed.
Sync Components When on the and the Item Planning Line is a Production - or Assembly Order component any changes in the Production - or Assembly Order Components will be synchronized to the Item Planning Line. To use this option also the "Sync. Prod. Components" setting on the Job Header (Planning & Budgeting fast tab) must be on.
In Transit When Yes the Item Planning Line is included in a Transfer Order and in transit to another location. While in transit the Job Item Planning Line cannot be modified.
Replenishment System Sets how the Job Item Planning line is replenished when not available in inventory. The options are: Purchase; Prod. Order; None; Assembly. Initially this is copied from the Item Card but can be changed on the Job Item Planning line with the "Set Replenishment Options" in the ribbon
Transferred Indicates if the Job Item Planning has been Transferred to a replenishment order. When Transferred the Job Item Planning cannot be modified, first the replenishment document must be cancelled with the "Cancel Replenishment Document" in the ribbon (provided that no postings have been made to this document yet).

Colouring the Item Planning Lines

The colour of the Item Planning Line indicates if and what type of action the planner should take. The first question is if the item planning line is Job Specific:

  1. Yes, starts a set of questions to determine a the replensihment status, first of all has the line been Transferred to a replenishment order,

    • if Transferred No and
    • the Planning Date is still within the Job Task date range the style of the line is set to StrongAccent to indicate that the planner needs to pay attention to this line.
    • the Planning Date is, initially, outside the Job Task date range, the program will update the Planning Date to the new Job Task Starting Date and then set the style to StrongAccent.
    • if Transferred Yes and
    • the Planning Date is within the Job Task date range the function ends.
    • the Planning Date is outside the Job Task date range, however since the line has been transferred to a replenishment order already the Planning Date cannot be changed automatically and is therefore set to a warning style Ambiguous.
    • if Transferred Yes and Job Availability for the item > 0
    • the style of the line is set to Favorable
      Note: Job Availability is per Job Item, the same Job Item can also be used on other Item Planning lines in the Job
  2. No, no color code is used.

To summarize, IEM Planners have to pay attention to:

  • StrongAccent lines, these lines still need to be transferred to a replenishment order.
  • Ambiguous lines as they are potential planning problems by coming in too early or too late.
