Assign Resource Groups, and resources from Job Budget Lines

To assign resources and resource groups from Job Budget Lines to Resource Tasks when the Job has the status "Quote" a relatively simple setup is required:

  1. Type Jobs Setup in the Search box and select Departments/Advanced Job Management/Administration/Setup/Jobs Setup
  2. In the Jobs Setup page locate the Advanced tab and check the Allow Assignment from Budget Line.
    • On means resources and resource groups are assigned from the Job Budget Lines, the Job Resource Planning Lines are ignored by the Update.Generic.Task action handler. The resource planning lines are created when the Time Lines are posted.
    • Off means the "traditional" planning sequence is followed: copy the budget lines to resource planning lines, release the planning lines to create assignments by the Update.Generic.Task action handler in the Job Task Lifecycle. The resource planning lines are matched when the Time Lines are posted.

Planning with Resource Groups in Jobs

When the Job has the status "Order" Resource Groups can be used in the Job Planning Lines:

  1. The setting "Create assignments from budget lines" in the Jobs Setup is only possible from the Job Status "Quote". This is handled by a resource task action handler in the Job Task Lifecycle.
    • The Breakdown function in the Budget lines is still available on the Action tab but no longer promoted to the Home tab.
  2. In the Resource Group list page the default Resource Group Unit of Measure can be set as well as the default Work Type. From the same Resource Group list a new card page can be opened showing the Resources linked to the Resource Group.
    • When assigning a manager to a resource group the resource group is added to the manager's Timecard Delegation, and removed when the manager changes.
    • From the Resource Card the manager can open the Timecard worksheet in order to maintain the team?s Timecards.
  3. When a Resource Group is selected in the Job Resource Planning line the following fields are populated. (Alternatively these fields are copied from the Job Budget line).
    • Description,
    • Resource Group Unit of measure (new setup field in Resource Groups)
    • Work type (new setup field in Resource Groups)
    • Job cost type
    • Resource group costs
    • Resource group price
  4. When the Job Task state changes the action handler creates a group assignment from released resource planning lines.
    • In the same way as with the "plan from budget line" function, posting time creates planning lines.
    • In a group assignment the quantities per group are tracked in the assignment.
  5. Optionally the planner can choose to "Expand Resource Group" in case he does not need all resources from the group. With this new function the members of the Resource Group are added to the Job Task Resource Planning lines. The quantity of the Resource Group line is equally divided over the individual resources.
    • A selection page shows all group members selected by default. If the planner does not need all resource he can "un-select" some resources. The quantity is recalculated for the selected resources only.
    • The expanded resources are indented from the resource group to indicate that this is a group assignment.
    • The planner can add and delete resources in this expanded group.
    • The group can be collapsed when there are no postings for the individual resource.
    • The action handler now creates assignments for the expanded resources. The Resource Group line is skipped (because the quantity is 0).
    • Detailed resource planning (per day) is only possible for individual resources (or expanded group lines)
  6. In the Start Stop functionality the wizard shows the group that was assigned to the task. A team manager can select the team members for which a Task must be started.
