How To : Create Timecards

To record time usage information for various tasks, you must create a Timecard. You can complete a Timecard for one week at a time. You can enter the number of hours that you have worked on a task, and then associate those hours with an activity. After you have entered time information, you submit the Timecard hours for approval. Resources must complete a periodical Timecard. A workflow controls the processing of the Timecard.

Create Timecards can be found in 2 places:

In the Timecard

  1. In the Timecard:
  2. In the Search box, type Timecard.
  3. Select Timecard to open the List.
  4. Locate Create in the ribbon and click to open the wizard.
  5. The wizard shows the resource which is linked to your User ID, you can only select other resources if that authority has been delegated to you.
  6. Make sure the Timecard Exists boolean is not checked (you can only create one Timecard per period), otherwise use the Previous - and Next Period buttons to navigate through the periods.
  7. Click OK to create the Timecard.

As a Periodic Activity

  1. In the Search box, type Create Timecards.
  2. Select Create Timecards to open the request page.
  3. Ensure that the Year, Week and subsequently, the Starting Date and Ending Date of the week are correct.
  4. Select the drop-down arrow on the Generic Task No. field to open a list of generic tasks. Select the task to be associated with the Timecard.
  5. Select the Time Type for the Timecard calculation. If Quantity is selected, the Quantity and Unit of Measure fields are enabled for use.
  6. You can give a description that can be used for the Timecard.
  7. The Create Timecard if not Exists field appears selected if a Timecard for the given period already exists.
