How To : Create a budget for a Quoted Job

The budget lines for a Job are the calculation for the Job and are important for properly measuring and forecasting the progress of the Job by comparing it to actuals.
Job Budgets have a version number, when a new Job is created automatically a first version is created. With the "Create New" action a new version of the Job Budget can be created. With this action all lines from the selected budget are copied to the new version of the Job Budget which is automatically set to Active. (There can be only one active budget)

Budget lines are linked to Job Tasks of the type Posting, consequently the Job Budget Lines can be created and maintained from the Job Task:

  1. Select the Job Task for which Budget Lines must created or maintained
  2. Click Budget in the ribbon or click the number behind Budget in the Job Task Information factbox In this page the budget lines are automatically linked to the Job Task

To create and maintain the budget lines from the Job Budget:

  1. From the Job List or the Job Card click Budget in the ribbon to open the Job Budget lists
  2. In the Budget Lists select the version to maintain and click Budget in the ribbon to open the Job Budget Lines

In this page the Job Task number has to be selected to link the Job Budget Line. Working from this page has the advantage that an overview per type of budget line is created (items, resources, equipment and G/L account)

Budget line actions

  • Split: with this action the quantity in a budget line can be split into 2 budget lines.
    Use the pop-up page to split the quantity on the current line:
    • Quantity Per: shows the current quantity on the selected line
    • Qty. to Split: allows you to specify the quantity for the new line (which will be deducted from the current line).
      All other values on the current line will be copied to the new line.
  • Copy: with this action the selected budget line can be copied to another Job Task within the Job. (Copy > Paste)
  • Move: with this action the selected budget line can be moved to another Job Task within the Job. (Cut > Paste)
  • Create Item Use this wizard to create a new, job specific, item and insert it on the job budget line. See Create Item Wizard.

Notes:

  • Budget lines can be created per Group (Resource Group, Item Category) or per number. To create a firm link between Budget Lines and Planning Lines a Copy Budget to Planning action is available from the Job List, the Job Task List or the Job Budget Lines. Only Budget Lines per number can be copied, use the "Breakdown" action to breakdown a group in numbers.
  • On the budget line the Quantity Per field is used to identify the budget quantity. The Quantity is determined by the Planning Multiplier from the Job Task and the Quantity Per (the default value is 0 which is interpreted as 1)
  • Budget lines have additional functionality to calculate quantities based on a calculation formula which can use Length, Width, Depth or Weight to calculate the Quantity Per
  • Budget lines use the Dynamics NAV price search function which finds the best price for a customer. In this search first the Job Prices are checked and then the prices with the number or the group. Additional fields have been added to set purchase prices and discounts
