How To: Breakdown, resource, budget lines

Budgets play an important role in Jobs as they are being used for:

  • Quoting: the cost of the job. An quote can be made in different levels of detail:
    • General, for example an amount for all resources or all items.
    • Group, for example an amount for a particular resource group.
    • Number, for example an amount for a named resource.
  • Tracking: tracking actuals against that estimate. Once a budget is created it is possible to compare the actuals against that budget.
  • Comparing: budget versions and forecasts. Different versions of budgets can be created based on progressive insights. Forecast can be used to estimate the future development of the project.

Budgets provide the following functions:

  • Breakdown: breaks down estimates at group level into specific resources or items.
  • Apply Surcharges: adds percentage based costs to the budget based on a surcharge model.
  • Calculate Forecast: determines an Estimate to Completion by comparing budgeted costs to actual costs.
  • Copy to Planning: Copy budget lines for specific resources or items to either item planning lines or resource planning line.

Breakdown

The Budget breakdown assumes the following scenario:

  1. Create a Job from a template, Note that the system automatically created budget 001.
  2. From the First Job Task open the budget lines, Budget in the ribbon.
  3. Create a new line, for example, of the type Resource and select a Group No. (Resource Group).
  4. Complete the line with a Unit of Measure and a Quantity.
  5. Click the Breakdown action in the ribbon to open the Breakdown Budget page.
    • Note that the fields in the Footer: Requested Quantity and Remaining Quantity show the Quantity from the Budget Line.
    • The No. field has a drill-down and an assist-edit option, the assist-edit shows all Resources from the Resource Group on the Budget Line, the drill-down lists all Resources.
  6. Select a Resource in the No. field and type a Quantity Per, note the change in the Remaining Quantity field in the Footer.
  7. When the breakdown is complete, Remaining Quantity = 0, click Process in the ribbon.
  8. Process closed the Breakdown Budget page and returns to the Job Task Budget.

Note that the Quantity in the Resource Group line is set to 0 and a new line(s) has been added with the quantity as specified in the Breakdown Budget page.
