How To: Copy Budget to Planning

In order to be able to track Budget vs Actuals IEM provides the "happy trail" of copying budget lines to planning lines and through create a connection between these lines. This connection is lateron visualized in the Forecasting function where an Estimate To Completion is calculated.

Copy Budget Lines from the Job Task

  1. From the Job Task open the Budget Lines either from the ribbon or from the Job Task Information fact box.
  2. In the Job Task Budget lines select the lines that need to be copied and click the "Copy to Planning" action
    • Budget Lines of the type Resource No. as well as Group No. will be copied, for these lines the breakdown function is optional.
    • Budget Lines of the type Item can only be copied when a No. is specified, when the Budget Line is for a Group, or Item Category, a "Group" line first needs to broken down in lines where the No. is specified.
    • Based on the "Type" in the budget line either an Item Planning - or a Resource Planning line is created.
    • Additional text lines (Extended Text) are linked to their parent line and copied as per that parent line.
  3. In the "Copy Job Budget to Planning" selection page the lines that can be copied are pre-selected, to NOT copy the pre-selected lines un-check the "Accept" field

Copy Budget Lines from the Job

  1. From the Job List click the ACTIONS tab and locate the Copy Budget to Planning action
  2. Click the Copy Budget to Planning action to open the Copy Job Budget to Planning selection page
  3. The Copy Job Budget to Planning selection page will list all Job Budget Lines which can be copied and have not been copied yet
  4. Click OK to copy the selected Budget Lines

The Copy Budget to Planning page provides the following actions

  • The Select and Deselect actions in the ribbon toggles the Accept boolean for all selected lines in the page.
  • The Split action in the ribbon allows you to split the quantity of the line:
    • Select the line for which you want to split the quantity
    • Click the Split action in the ribbon
    • A Split Line message will pop up showing the Quantity Per of the selected line
    • Type the Qty. to Split, = the quantity for the new line
    • Click Yes to confirm
  • The Show Copied Lines options shows all lines copied in previous actions, the copied lines are checked per line in the Copied field
