IEM Additional Timecard Functions

Timecard Batch Job

With this batch job you can make time registration run as the standard time sheet functionality with the benefits of the additional functions of the timecard and resource tasks. The batch job has many options:

  • Choose the  icon, enter Create Timecards, and then choose the related link.
  • You can create new timecards based on a master timesheet
  • You can create the timecards per resource, per resource group or just everybody.

This batch job is like the standard Create time sheets batch

Complete the following fields:

Field Description
Year: Type the year for which the Timecards must be created
Week: Type the week for which the Timecards must be created
Starting - Ending Date: The dates will be filled automatically when a week no. is typed, otherwise type the dates.
Resource Task No: Optionally select a Resource Task to be inserted tine the Timecards
Time Type: Optionally Select Time Bucket or Quantity. For Time Buckets the Start – and End Time fields need to be completed. For Quantity the Quantity - and the Unit of Measure fields must be completed.
Description: Optionally type a description for the Timecard line to be created.
Create Timecard if not exists: Place a check mark in the check box if you want the Task to create a Timecard when it does not exist.
Master Timesheet: Select a Timecard as a template for the creation of new Timecards
Resource: Use this filter to select Resource or Resource Group for which the Timecards must be created.

When completed click OK to complete the Task immediately or click Schedule to submit the Task to a Job Queue.
Note: When timecards are created, resource tasks assigned to the resource, or the resources group, are automatically inserted in the timecard. This is like the standard Create lines from job planning function in the time sheet.

Timecard Status View

The timecard status view provides the back office with a, weekly, overview on the status of the timecards per resource. Listed are all resources for which “Timecard mandatory” is checked on the resource card.
Besides the status also the “Timecard open approval entries” are shown.

Time entry for Teamleads

To allow a team lead or manager to maintain the timecards for a team several setups are required:

  1. Set a Manager for a Resource Group

    • Choose the  icon, enter Resource Groups, and then choose the related link.
    • In the Resource Groups list locate the resource group to which you want to assign a resource.
    • Select a resource in the Manager column, the Timecard delegation will be automatically set for the Manager
  2. To update Timecard Delegation for the Manager.

    • Choose the  icon, enter Resources, and then choose the related link..
    • Select the resource card for the Manager and click Edit to open the Resource card.
    • On the Navigate tab select Timecard > Timecard Delegation
    • In the Timecard Authorization list select Resource Group in the Target Type and select the resource group in the Target No. column
  3. Use the Create Timecards as explained with Time Card Batch Job

  4. Use the Timecard Worksheet to maintain and register Timecards

    • Choose the  icon, enter Timecard Worksheet, and then choose the related link.
    • Select the Week No. and note that the Start – and End Date Filter are filled automatically.
    • In the Resource Group No. Filter, the Team lead or Manager can select the resource group to maintain.
    • The timecards for the resource group members will be listed in the lines of the worksheet, use the Change Status and Register actions to process timecards.

Copy Timecards

Copy Timecards is an additional option for resources to create a new timecard. Copy Timecard is activated per resource and can be used from the Timecard.

  1. Set the Allow Copy Timecard option

    • Choose the  icon, enter Resources, and then choose the related link..
    • Select the resource card for the resource you want to update and click Edit to open the resource card.
    • Select the Time Registration tab and locate the Allow Copy Timecard.
    • Place a check mark in the check box if you want the resource to be able to copy a timecard from a previous one.
  2. Copy a Timecard

    • Choose the  icon, enter Timecards, and then choose the related link..
    • Select a Timecard and click Edit to open or use the Create wizard to create a new timecard.
    • For those resources where Allow Copy Timecard is on the Copy Timecard Lines option is available.
    • Click to open the selection list, the timecards listed will meet the following criteria:
      The list will only show timecards with lines that can be copied to the new timecard
      The combination of Resource Task and Work Type must be unique.
      The resource task must be valid for status and data range.
    • Click OK to copy the lines from the selected timecard to the target timecard.

    Note: that the nr. of hours per day are not copied and still must be specified in the target timecard.
