How to: Use Progressive Billing in a Job
Progressive billing assumes that you agreed with your customer to invoice the contract amount of a Job based on the actual progress in a Job. The actual progress is the Project Manager's best estimate supported by the Forecasting function in IEM.
- Type Jobs in the Search box and select Departments/Advanced Job Management/Advanced Job Management/Jobs to open the list of Jobs.
- Select the Job for which you want to set progressive billing, click Edit in the ribbon to open the Job Card and select the Invoicing tab.
- On the invoicing set a contract amount.
- Check the Progressive Billing field.
- Open the Contract page for the Job to initialize the, basic, invoicing schedule.
Note: This invoicing schedule is the starting point for progressive billing. Before actually invoicing each line the function Set Billing % is used to determine the actual amount to be invoiced. - Progressive billing has now been set for this Job, before the first instalment can be invoiced a forecast has to be created.
- From the Job card click Budgets to open the Budget page for the Job.
- From the Budgets page click Calculate Forecast to open the request page, click OK to calculate the Forecast. (See Also: Forecast).
- When the Forecast is calculated and reviewed return to the Job Contract page, select the contract line to be invoiced and click the Set Billing % function.
- The function will allow you to select the relevant Forecast version(default is the Active version).
- From this Forecast function the Cost Completion % and the Progress % will be shown and from the Contract Lines the latest Billing %.
- With this information set the new Billing % and click OK to confirm.
The contract line will now show the new Billing % and based on that the total amount to be invoiced, the amount already invoiced is subtracted to leave the actual invoice amount. With this information the sales invoice can be created and posted.
