Use Resources for Projects

You record the usage of resources in the project to keep track of costs, prices, and the work types that are linked to projects.

You can also purchase external resources, for example, to invoice a vendor for work delivered. For more information, see Record Purchases.

To assign resources to projects

You assign resources to projects by creating project planning lines with type resource. Select a Resource Group or a specific Resource, specify quantity of hours and a work type to assign the resource to the Project Task.

To record resource usage for a project

  1. Adjust the Quantity to Post if required
  2. Release the planning line and use the Post action to record the usage

To adjust resource prices

Business Central supports various pricing strategies, ranging from one-price-fits-all models where an item, or resource, is always sold at the same price, to special price agreements with specific customers, groups of customers, or special offers when you're running a sales campaign. For example, you might offer a special price on a Project under the following conditions:

  • When it's for a minimum quantity
  • It's for a certain type of item
  • If it's created during a specific period of time

To use a basic pricing model, you only need to specify a unit price for an item or resource. That price will always be used on Projects. For more advanced models, for example, when you are running a sales campaign and want to offer special prices, you can specify criteria for that on the Sales Prices page. You can offer special prices based on combinations of the following:

  • Customer
  • Item
  • Unit of measure
  • Minimum quantity
  • Date ranges that define when the prices are valid

Additionally, after you set up special prices, Business Central can automatically calculate the best price on sales and purchase documents and on project and item journal lines.

The new pricing experience in Business Central

You need to activate this pricing experience in Feature Management (In Q2 2023 - update 22 - this experience will be standard) When activated you must select a Default Sales Price List and a Default Purchase Price List in the Projects Setup. In the Purchase Price list you also specify the costs for Resources and Resource Groups when different from the cost on the Resource Card.
