Project costs and pricing
Project Control Suite uses the New Sales Pricing Experience in Business Central. This new feature will be automatically enabled with the Q2 2025 release. Until then it must be manually enabled from Feature Management:
To enable the New Sales Pricing Experience
- Choose the icon, enter Feature Management, and then choose the related link.
- In the list of Features locate: Feature Update: New sales pricing experience.
- In the column "Enabled for" change None to All Users.
- On the wizard page leave the "Allow update defaults" setting off, you can update this later on the price list.
- Confirm the Data Update prompts. Existing prices will be converted to a first version of a default price list for each of the following documents:
- Sales
- Purchases
- Project sales
- Project purchases

Setting up the New Sales Pricing Experience
Although the name of the feature suggests sales prices only, the same applies to purchase pricing which in Projects also translates to costs.
You use the New Sales (and Purchasing) Pricing Experience if you want to deviate from the basic pricing set on the Item - and Resource cards.
The setup for sales and purchase prices is controlled from resp. Sales & Receivables Setup and Purchase & Payable Setup. On these pages you can set the following:
- Price Calculation Method: Specifies the price calculation method that will be default for sales or purchase transactions. By default this is "Lowest Price". Only when, ISV, extended other options will be available.
- Allow Editing Active Price: Specifies if the existing active sales or purchase price line can be modified or removed, or a new price line can be added to the active price list.
- Default Price List Code: For Projects the price list codes are set in the Projects Setup:
- Default Sales Price List Code
- Default Purchase Price List Code
- The number series for the, Project, Price List Codes is set on the Numbering tab in Projects Setup: Price List Nos.
Price Calculation Methods
To view the list of the price calculation methods that are installed and available in your tenant, search for Price Calculation Method. By default, if there are no ISV solutions or extensions installed, the list will only show the method called Lowest Price, which comes with Business Central. For more information about this price calculation method, see Best Price Calculation. If you have installed an extension that adds pricing methods, for example, to define exceptions to standard price calculations, you can use those by choosing Price Calculation Method.
Set up prices for Projects
To set up sales or purchase prices for Projects, search for Sales Project Price List or Purchase Project Price List. If you choose Applies-to Type and Applies-to No., you can choose what this price list will apply to, such as All Projects, Project or Project Task. Using View Columns for, you can show or hide columns relevant for setting prices, discounts or prices and discounts.
You can set up Price List lines manually or you can use, for example, the Suggest Lines action to create new prices for selected items, item discount groups, resources, resource groups, and other product types. If you choose Suggest Lines, the Price Lines - Create New page allows you to set filters to select products for which you want to create new price list lines. You can also specify whether to consider a Minimum quantity when calculating prices, the adjustment factor to apply for new price list lines, and the rounding method to apply for prices. The Copy Lines action allows you to copy existing price list lines between price lists.
By default, the status of new price lists is Draft. When you're done adding lines and want the price calculation engine to include it, you can change the status to Active.
To review price lists and prices that apply for specific Projects, on the Project page, choose Prices & Discounts from the Related menu.
- Sales / Purchase Price List: will show the available Sales / Purchase Project Price Lists
- Sales / Purchase Prices: will show Sales / Purchase price lines for the Project
The Sales / Purchase Project Price List will take priority over the Sales / Purchase Price list. So, for example, when an item has a special price for a customer and it is also priced in the Sales Project Price List, the price from the Sales Project Price List will be selected even when the special price for the customer is lower.
