Make a Project from a Sales Quote
In a scenario where sales is the leading activity but has to be completed with assembly - or installation activities the sales process can be routed through a Project to create flexibility in the cost of goods sold. You can create a Project from a Sales Quote with the Make Order function:
- In the pop-up page for that function the user can choose between Sales Order and Project(with the status Open).
- Select a template to create a Project. In order to follow the sales flow: order > shipment > invoice; only Base templates with an Invoice template with invoicing method Delivery are shown. With this invoicing method a billable line is created when the project planning line is posted.
- The Project is created and the Sales Quote Lines are added to the first Project Task as ProjectPlanning Lines with application type Deliver. Since these ProjectPlanning Lines are "System Created" they cannot be removed as they also hold the pricing information from the Sales Quote Line.
When the ProjectPlanning Line is posted:
- A Posted Delivery is created, this document has the same function as the posted sales shipment. Based on the Locations warehouse setup warehouse documents can be created.
- A Project Billable Line is created. From this line a Sales Invoice can be created
To create a Project from a Sales Quote
- Choose the icon (Alt+Q) enter Sales Quotes
- Create a new Sales Quote for an Item.
- When complete click the Make Order action in the ribbon.
- A pop-up window will show the available options, select Project.
- Selecting "Job" will also make the Starting Date and Base Template Code fields available.
- Select a Starting Date, if different from the default work date.
- Select a Base Template Code, this must be a Base Template with the Invoicing Method set to Deliverable.
- Click OK to confirm and create the Project, the Sales Quote will be archived. Note: All line types (Item, Resource, G/L Account and Text) will be copied to planning lines with application type Deliver in the first project task in the project. These lines will be flagged as "System Created" and cannot be deleted.
